How to connect HubSpot to CFDI invoicing in Mexico

In short: HubSpot does not stamp CFDI invoices on its own. To invoice a won deal without re-entering anything, you connect HubSpot to the invoicing system you already use, through its API or a tool like Make.com, and bring the fiscal folio (UUID), the PDF, the XML and the payment status back into the CRM.

The problem: the same sale gets entered twice

In many B2B companies in Mexico, the rep closes the deal in HubSpot and then someone in finance re-enters the customer, line items and amounts in the invoicing system. That costs three times: invoices that go out days late, RFC or tax regime errors that force a cancellation and a new stamp, and a sales team that cannot tell whether the customer already paid without asking finance.

The root cause is almost always the same: HubSpot and the invoicing system live apart and nobody decided which system owns each data point. The fix is not a new tool but connecting the ones you already have.

Can HubSpot stamp CFDI invoices?

No. Stamping requires an invoicing system that works with a PAC (authorized certification provider). What HubSpot can do is store the customer's tax data, trigger the invoice at the right moment and show sales what happened next. The stamping stays where it already is.

What the integration looks like, step by step

  1. Tax data in HubSpot. The company record stores what CFDI 4.0 requires for the receiver: RFC, legal name, tax regime, fiscal address zip code and CFDI use. It is worth validating them before invoicing so no invoice goes out with missing data.
  2. The won deal triggers the invoice. When the deal reaches the stage your team defines, its products and amounts go to the invoicing system, which stamps it with its PAC.
  3. The invoice comes back to HubSpot. Folio, UUID, date, total, PDF and XML are stored on the deal and the company, visible to sales.
  4. So does the payment. When finance records the payment (and the payment complement, if the invoice is paid in installments or deferred), the status updates in HubSpot and can trigger onboarding or renewal.

Make.com or API: which one fits

There are two ways to build the connection. The difference comes down to volume and how far your process departs from the standard.

In both cases, the part that takes the longest is not the connection: it is agreeing with finance on what gets invoiced, when and with which line items. If that is not written down, the integration only automates the mess.

Common mistakes before connecting

  • Tax data in free text. If the tax regime or CFDI use is typed by hand, every invoice is a chance for an error. They belong in dropdown properties.
  • Different products in each system. If the HubSpot product library does not match the codes in the invoicing system, the integration does not know what to stamp.
  • Nobody owns the data. You have to decide which system owns each field; if both edit the same data point, sooner or later they contradict each other.

What you can do this week

  1. Check whether your HubSpot companies have RFC, tax regime, fiscal zip code and CFDI use as properties, and how many have them filled in.
  2. Ask your invoicing provider whether they have an API and what you need to use it.
  3. Agree with finance on which pipeline stage triggers the invoice and what happens if the deal falls through afterwards.

When do you actually need help?

If you invoice from several legal entities, bill in installments or your ERP is also involved, it pays to design the integration before building it. It is part of our integrations service: you can see the scope and pricing in our services.

Frequently asked questions

Do I have to switch invoicing systems to connect it to HubSpot?

No. The integration works with the system you already use as long as it has an API. If it does not, an intermediate option can be evaluated, but it is worth knowing before you start.

What happens if I cancel or correct an invoice?

The cancellation is done in the invoicing system, as usual, and the status change is reflected in HubSpot so sales does not treat a cancelled invoice as valid.

Is there a native HubSpot connector for CFDI?

Not for stamping: the invoice always comes from an invoicing system that works with a PAC. Before building, check the HubSpot marketplace to see whether your invoicing provider already publishes an app; if not, it is connected through its API or with Make.com.
